Approval and invoicing

A manager reviews every worksheet before anything is billed: parts, hours, readings, photos, signature. Approve it, or send it back with a reason.

The money gate

Money moves only after somebody has looked.

Review on one screen

The queue opens on work waiting for a decision. Parts, hours, readings and photos sit beside the Approve button.

Blockers named up front

If a worksheet cannot be approved, the screen says why before you press anything, and whose problem it is.

A charge type on every row

Invoiceable, warranty, contract or goodwill. Only invoiceable is charged; the rest still show on the report.

From finished work to a clean invoice

Hours and kilometres become real rows on the worksheet, priced from the item you name, so the person approving sees what the customer will be billed for.

  • Send back with a comment

The comment is required and lands at the top of the job on the technician's phone, with the reason.

  • With an ERP, it goes there

Approved work goes to the ERP and the invoice returns linked to the order. A column shows what is synced, waiting or failed.

  • Without one, issue it here

A company with no ERP raises an invoice from the order, with its own numbers, and exports it for its accounting software.

Questions about approval and invoicing

How is invoicing done?

With an ERP connected, the ERP issues the invoice. Approval pushes the work facts, each row with its charge type, and only invoiceable rows are charged. Without an ERP, you issue the invoice in herbe service.

What if a mistake is found after invoicing?

It becomes a correction worksheet, never an edit. Who corrected what, and why, stays visible. An issued invoice is not edited either.

Can we change the amount without touching the recorded time?

Yes. Edit the worksheet's rows, time or distance with one reason per save, rather than rewriting what happened on site.

Does a missing customer signature block invoicing?

No. Parts and hours are settled when a manager approves each worksheet, whether or not the customer has signed or accepted.

Can we see what has reached the ERP?

Yes. A column tells synced from waiting from failed, and a send that someone gave up on is marked as rejected, so a month's work can be checked in one list.
