Customer sign-off

The customer signs on the technician's phone when the work is done. Afterwards, one acceptance can cover every worksheet on the order.

herbe service order detail with lifecycle and sign-off

Two signatures, two jobs

Use one, both or neither. They do not depend on each other.

On site, on the phone

Submit ends with a summary headed Show this to the customer. They sign with a finger or stylus, or a typed name.

For the whole order

After every worksheet is approved, the customer accepts the whole job in one answer, recorded on the order.

No signature? Say why

Submit without a signature takes a one-line reason, printed on the service report and recorded under the technician's name.

A no is an answer too

A rejection keeps the order open. Fix the gap, plan the return visit, present the job again, and the customer signs again.

  • Pick how they confirm

Tap to confirm, a drawn signature, or an e-signature through herbe portal with Dokobit (Smart-ID, Mobile-ID, eID card) or eParaksts.

  • In the portal, or by hand

With herbe portal the customer sees one report per order and answers there. Without it, the office records the answer.

  • Every round is kept

Each request and each answer is written to the audit log, so the back-and-forth stays recoverable.

How to start

  1. Sign a job in the demo

Open the field demo, submit a worksheet and sign as the customer.

  2. Choose your rules

Book a demo and we decide together which signatures you need.

  3. Switch it on

Both signatures are settings, so you choose them for your whole organisation.

Questions about customer sign-off

What does the customer sign on site?

A summary of the job, the site, the date, the work done, the units, time and materials. Signing freezes the worksheet, so nothing more can be added.

Does the order acceptance sign the worksheets?

No. It records the customer's answer on the order and locks nothing else. A worksheet the technician never had signed stays unsigned.

Does a missing signature hold up invoicing?

No. Parts and hours are settled when a manager approves each worksheet, whatever the customer has or has not signed.

What if the customer says no?

The order stays open, and the reason is shown. Plan a return visit, approve the new worksheet, and request the acceptance again.

Can a customer without portal access still sign?

Yes. They sign on the phone on site, and the office can record an order answer by hand. The report also goes by email as a PDF.
