Eight parts, one job from call to invoice
Take the whole of it, or start with the part that hurts most.
- Dispatch boardThe day, the team and the waiting work on one screen. Drag a job onto a person.
- Technician appThe day's jobs, worksheet, parts and photos on a phone, with or without signal.
- ChecklistsA form per kind of machine, filled in on the phone, with limits on the readings.
- Approval and invoicingNothing is invoiced unreviewed. Approve or send back, then bill what is billable.
- EquipmentEvery machine you service, with its history, readings and parts, in one tree.
- Customer sign-offThe customer signs on the phone, or accepts the whole order afterwards.
- Van stockWhat is in each van and warehouse, and where a part is when yours is empty.
- MapOne day's jobs on a map, one pin per site, with the waiting work beside them.
Why
Field work still runs on paper
Your technicians fix, inspect and replace things all day. The work gets done. Then the day ends, and the paperwork begins.
- Worksheets on carbon paper
- Photos lost in chat threads
- Hours and kilometres from memory
- Parts nobody wrote down
- Invoices two weeks late, missing half of it

One loop, five steps
Order in
A request, by phone, portal or ERP, becomes a service order with items and priority.
Plan
Drag jobs onto technicians on the dispatch board. Crews move as one, or technicians pick from the pool.
Work offline
The worksheet in the field: parts, time, checklist, photos, signature. No network needed.
Approve
A manager checks prices, charge types and proof, then presses the one button that matters.
Invoice
Approved work goes to invoicing. With an ERP, the invoice comes back linked to the order; without one, you issue it here.
Works with your ERP
Works with Excellent Books, Standard ERP by HansaWorld and Excellent ERP, or with none
Customers, items, prices, contracts and equipment come from the ERP; approved worksheets go back, and the invoice returns linked to the order. Prices, VAT and invoices stay where your accountant expects them. No ERP? herbe service runs on its own, and the connection can be switched on later.

herbe ID and herbe assist
herbe ID and herbe assist in herbe service
Office staff sign in with herbe ID and can ask Claude, ChatGPT or Codex about orders, the board and worksheets. Technicians can pair their phone with herbe ID too.
- The assistant works as the signed-in person: their role, their companies and their price visibility. What they cannot do on screen, it cannot do
- A technician's assistant gets no invoice, quote or setup tools
- Remove someone in herbe ID and their web sessions end within minutes and their paired phones are revoked
- Office staff also get an Ask button (⌘J or Ctrl+J) that opens herbe assist beside the screen
- AI is off until an admin switches it on in herbe ID. Each person can then limit it to chosen tool groups and companies
- Sign in with herbe ID
Staff press Continue with herbe ID and use their work Microsoft account (Entra ID) or another method your company set up.
- Ask about the work
What orders are open for this customer? What is on the board tomorrow? Which worksheets wait for review?
- Nothing goes out unchecked
A quote or invoice for a customer, or a worksheet approval, comes back as a link. A person opens it and presses Approve.
Part of herbe.app
One login and one assistant, across the apps
herbe service signs staff in through herbe ID and uses herbe assist. Both also serve herbe calendar and herbe portal.
- herbe IDOne sign-in for office staff, and a way to pair technicians' phones. Microsoft Entra ID, passkeys or email codes.
- herbe assistThe MCP connector for Claude, ChatGPT and Codex, and the Ask panel inside herbe service.
- Who may use AIAI starts off for every person and app. An admin switches it on in herbe ID.
Frequently asked
Does it work without an ERP?
Yes. Orders, dispatch, worksheets and checklists run on their own, and a company without an ERP can issue its own invoices. The connection is switched on when you are ready, not as a precondition.
Does it work with Excellent Books, Standard ERP by HansaWorld and Excellent ERP?
Yes, two-way, with Excellent Books and with Standard ERP by HansaWorld, known as Excellent ERP in the Baltics, Finland and Norway. Customers, items, prices, contracts and equipment come from the ERP; approved worksheets go back and the invoice returns linked to the order.
Does it work offline?
All of the technician app does, including airplane mode. The briefcase downloads the next days' work; the outbox sends queued actions when the network returns; conflicts become visible tasks.
How do customers see reports and approve the job?
On site, by signing on the phone, or in herbe portal, with one report per order and an e-signature through Dokobit or eParaksts. No portal? The report goes by email as a PDF.
Can our staff sign in with herbe ID and use an AI assistant?
Yes. An admin switches herbe ID on for your account. Office staff then sign in with it, and technicians can pair their phone with it. Once AI is switched on for a person, they can connect Claude, ChatGPT or Codex through herbe assist and ask about orders, the board, worksheets, quotes and customers. The assistant works with that person's own role and companies. A quote or invoice for a customer, or a worksheet approval, is finished by the person with an approval link in herbe service.
