herbe portal · module
Service orders & equipment
Customers follow every service order, read each worksheet, see the history of every machine and raise a new request. Connected to herbe service, it stays in step with the field.

The whole job in one place
What was reported, what was done, on which machine, and what the customer said about it.
With herbe service
The field side, as it happens
herbe service is where your technicians plan and report. Connect it to an ERP company and the order pages show the field work to the customer. It is optional: without it, the same pages run from your ERP data alone.
- A change in herbe service is sent to the portal as it happens, so a new order shows in the customer's list within seconds
- A status the customer understands
Received, Scheduled, In progress, Work done, Completed or Cancelled, with a timeline from the request to the end.
- The visit, before it happens
The booked time slot, then a technician is on the way note with an estimated arrival when there is one.
- New service request
The customer describes the issue, picks the site and the equipment, and confirms contact details. The order is created in herbe service.
Equipment
Every machine, with its history
The Equipment page lists the machines you service for the customer. Open one to see every service order and worksheet that touched it, and step into the full order.
Equipment in herbe service- Find the unit fast
Search by serial number, item name or code. The number printed on the unit is the quickest way in.
- Scan the label
With herbe service, the QR label on the unit opens its page here once the customer has signed in.
- Where it stands
With herbe service, the location as a path, such as Building A > Line 2 > Pump #4, and a service history that combines records from more than one system.
The job is not done until the customer says so
Confirmation, rating and complaints all land on the order.
Two ways to connect
Your ERP plus herbe service, or herbe service on its own
The portal does not need an ERP for service work. Choose what fits your setup.
How herbe service signs off- On top of your ERP
Connect one ERP company to herbe service. The ERP stays the source of the orders it holds, and herbe service adds the status, the visit times, the equipment path, the QR labels and the request form.
- As the portal's own database
A portal company with no ERP reads its customers, invoices, quotations, service orders, worksheets and equipment from herbe service. Order and worksheet pages get a Files panel with the documents the customer may download.
- Both ways round
Customers confirm, rate and report concerns in the portal. On herbe service's own database, herbe service records each answer on the order itself. Your office staff can open a quotation, an order or a worksheet in herbe service from the portal.

Questions about service orders and equipment
Does the customer confirm each worksheet?
No. Confirmation covers the whole order, because an order can span several visits. The customer confirms once, when the job is complete.
Can customers raise a new order?
Yes, when herbe service is connected to your ERP company: a New service request form creates the order. A portal that runs on herbe service's own database does not have that form yet. Its customers follow orders, confirm, rate and report concerns.
Does the customer see the history of a machine?
Yes, on the Equipment page. Each unit lists every service order and worksheet that touched it, newest first, and each entry opens the full order. Equipment is its own module switch.
How does a change in herbe service reach the portal?
herbe service tells the portal when an order, worksheet or other record changes, and the portal reads that record again. A portal on herbe service's own database also follows a change feed every five minutes, so a missed message is caught.
What does Report a concern do to the order?
With herbe service, while the order waits for confirmation it declines the order and sends the customer's words as the reason. Otherwise it only flags a problem and changes nothing.
Which files can a customer attach to a concern?
With herbe service, up to 10 files per report: PDF, PNG, JPEG, WebP or HEIC, each up to 4 MB. A larger photo is made smaller in the browser. A larger PDF or another file type is not attached, and the form says which one.
Can customers write to the service team?
Yes. With Excellent Books and Standard ERP by HansaWorld (known as Excellent ERP in the Baltics, Finland and Norway), a Need help with something card lets a customer describe a problem, pick the equipment and attach up to five files. It reaches your team as an activity, and the order and equipment pages carry a message thread.
Does the customer get an email?
If you switch it on, yes: one when a service order is registered, and up to two reminders until the customer confirms it. Each is its own switch per company.
Does this module work without an ERP?
Yes. A portal on herbe service's own database shows service orders, worksheets and equipment. With an ERP they come from the ERP, and herbe service can add the extras.
