Quotations

Send a priced offer, let the customer approve it online, and turn what they approved into planned work on an order. Quotes live in herbe service and need no ERP.

From offer to yes, with a trail

The customer answers on a page of their own, and everything they were shown is kept.

The customer answers online

A private link opens the offer with no sign-in: lines, totals, validity and terms. They approve with their name and an optional PO number, or reject and say why.

What was sent stays on record

Each sent version is frozen with its own PDF. A change makes a new version, and the answer is stored with the name, the time and the checksum of the PDF the customer saw.

Cost and margin stay with you

Enter a cost per line and see the margin in the office. It is never on the PDF, in the email or on the customer's page.

Approved is where the work starts

An approved quote can go straight onto a service order, so everyone doing the work sees what was promised and at what price.

  • Answered by phone or email? Record the customer's answer yourself, with a comment
  • Give the customer more time by extending the validity, with no new version
  • Saved views for quotes waiting for an answer, about to expire, or approved and not yet ordered
  • Quotes are a switch per company, and everything stored comes back when you switch them on again
  • Lines become planned rows

Put an approved quote on a new or an existing order. The technician finds the rows under the quote on the worksheet and uses them at the quoted price.

  • Change it with a variation

An approved quote is not edited. A variation holds only what changes, and it is the only quote that may take work away.

  • Started in the field

A technician flags that a customer needs a quote. The office turns the flag into a draft quote from the order in one press.

How to start

  1. Book a demo

We make a quote for one of your customers and put it on an order.

  2. Set your defaults

An admin sets how long a quote stays valid, the payment terms and the VAT codes.

  3. Send the first quote

Make it from a customer's page, or from an order a technician flagged.

Questions about quotations

Does the customer need to sign in?

No. The link in the email opens the offer. Approving asks for their name, and a rejection asks for a reason of a few words, so you know what to change.

Can we change a quote after it has been sent?

Yes. Saving a change makes the next version, and the customer's old link stops working, so you send it again. To give the customer more time, extend the validity: the version stays and the link keeps working. An approved quote is changed with a variation.

What if the customer answers by phone?

Open the quote and record the answer yourself, with a comment such as who said what and when. The record shows it was made in the office.

Does it need an ERP?

No. With Standard ERP by HansaWorld, known as Excellent ERP in the Baltics, Finland and Norway, or with Excellent Books connected, a quote is also sent there, and an answer made on either side reaches the other.

Can customers answer in herbe portal?

Yes. Where herbe portal covers the customer, the customer reads and answers the quote there, and the answer comes back on the quote. Without a portal, herbe service emails the private link itself.

Can we copy a quote?

Yes, for the same customer or another one. Prices are read again from the item register, so a copy made a year later does not carry last year's price.
