Fixed-price tasks

Quote one fixed price, keep your calculation to yourself, and run each piece of work as its own worksheet. The quote shows how far the job has got.

One price for the customer, a plan for you

A quote with a hidden calculation, split into tasks.

The customer sees one price

The rows above the hidden line are the price. The rows below it are your calculation: they are not on the PDF, the customer's link or in the portal.

Each task is its own worksheet

Each heading of the quote becomes a task with its own worksheet, technician and booking, so a quote of several jobs is planned and worked job by job.

Progress on the quote

The quote shows how many tasks are done of all, such as 1/4 tasks. A task counts as done once it is approved.

From the hidden line to the invoice

Tasks is a switch per company, off until an admin turns it on. It needs quotes switched on.

  • The customer sees only the price rows on the quote, the invoice, the order report and in the portal
  • The quote's profit is what the customer pays minus all your cost, the hidden rows included
  • A task longer than a working day is planned one day at a time
  • The dispatch board draws a task as a chip, outlined while it has a day and no time, filled once it has a time
  • Add a task by hand for work the quote forgot
  • With an ERP, the invoice is issued there, and calculated balance rows keep the quote's total equal to the price the customer sees
  • A day first, the hour later

Drop a task on a day without a time. The technician sees it in a group of its own and sets the start inside the company's working hours.

  • Invoiced at the fixed price

A company without an ERP invoices the quote's price rows, not the hours. The invoice cannot be issued while a task is still open.

  • Extra work is a new quote

Paid work on top is a separate quote on the same order. The rows used from it are billed on top of the fixed price, and the customer sees them.

How to start

  1. Book a demo

We turn one of your fixed-price jobs into a quote with tasks.

  2. Switch on Tasks

Name the balance line item in your quote defaults. A quote with a hidden line cannot be saved without it.

  3. Quote, place, plan

Put the approved quote on an order, and each heading becomes a task you dispatch.

Questions about fixed-price tasks

Does the customer really see only the fixed price?

Yes. The PDF, the private link, the quote email, the portal and the integration API all stop at the hidden line, and the totals are those of the rows above it. The invoice and the order report are cut the same way.

Can I plan a task for a day without a time?

Yes. The booking is for the day, and the technician picks the start on the phone. A technician, team lead or admin can set the start of their own booking.

Does it work without an ERP?

Yes. A company without an ERP issues the fixed-price invoice in herbe service. With an ERP, the ERP issues the invoice.

What about work the customer asks for later?

Make a new quote with no hidden line and put it on the same order. The rows used from it are billed on top of the fixed price.

Can an order have tasks without a quote?

Yes. Add a task by hand on the order page, for an order with no quote or for work the quote forgot.

What if we switch Tasks off again?

Nothing is deleted. Tasks, headings and hidden rows stay stored and come back when you switch it on. A company that never switched it on sees the screens it always saw.
